1. Who we are
Green Dolphin Software LLC (“Green Dolphin,” “we,” “us”) is a California limited liability company registered at 3635 Sandalford Way, San Ramon, CA 94582. We provide enterprise integration consulting services and operate the website at https://greendolphin.ai (the “Site”).

2. What information we collect
We collect only what you choose to give us, plus minimal automatic data:
- Intake form submissions: name, work email, role, company, industry, source/target systems, integration scope, budget tier, optional attachments (PDF, Word, Excel, CSV, TXT). Submitted via the form at /intake.
- Chatbot conversations: any messages typed into the chatbot widget, forwarded to Anthropic for response generation. Not stored long-term.
- Email correspondence: messages sent to max@greendolphin.ai or replied to from intake@greendolphin.ai.
- Server logs: standard request metadata (IP address, user agent, timestamp, path) retained by our hosting provider Vercel for ~30 days for security and reliability.
- Aggregated analytics: page-view counts and referrer aggregates via Vercel Analytics. No cookies, no cross-site tracking.
We do not use third-party advertising trackers, marketing pixels, behavioral profiling tools, or sell personal data.
3. How we use information
- Respond to your inquiry: intake form data is used to draft a Statement of Work and reply to your stated request.
- Operate the chatbot: messages are sent to Anthropic Claude for response generation, governed by Anthropic's privacy policy.
- Send transactional email: intake submission notifications routed via Resend to max@greendolphin.ai.
- Maintain the Site: server logs help us debug issues, prevent abuse, and meet hosting-provider security obligations.
We do not use your data for marketing automation, retargeting, or third-party advertising. We do not run a newsletter you would need to opt out of.
4. Subprocessors we share data with
To operate the Site we use the following service providers, each subject to their own privacy commitments:
- Vercel (hosting, analytics, edge runtime) — vercel.com/legal/privacy-policy
- Resend (transactional email) — resend.com/legal/privacy-policy
- Anthropic (chatbot API) — anthropic.com/legal/privacy
- Google Workspace (email inbox at max@greendolphin.ai) — policies.google.com/privacy
5. Data retention
- Intake submissions: retained in email until project rejection or completion + 7 years (standard tax / business-records retention).
- Chatbot messages: ephemeral — not persisted after the conversation other than via Anthropic's standard API logging (typically 30 days).
- Server logs: ~30 days at the hosting layer.
- Analytics aggregates: retained indefinitely (no personal identifiers).
6. Your rights (CCPA / California residents)
California residents have the right to:
- Know what personal information we've collected about you.
- Delete personal information we hold (subject to contract / tax retention exceptions).
- Correct inaccurate personal information.
- Opt out of any sale or sharing of personal information — though Green Dolphin does not sell or share personal information with third parties for advertising.
- Non-discrimination: we do not deny services or provide different pricing based on whether you exercise these rights.
To exercise these rights, email max@greendolphin.ai with subject line “Privacy Request.” We will respond within 30 days.
7. EU / UK residents (GDPR)
If you submit data from the EU or UK, our lawful basis for processing is legitimate interest in responding to your inquiry. Standard rights (access, erasure, rectification, portability, restriction, objection) apply via the same email address above.
Because Green Dolphin operates in the United States, your data will be processed in the U.S. and may be subject to U.S. law. We minimize data collection accordingly.
8. Security
All Site traffic is encrypted in transit (HTTPS / TLS 1.3). Email is sent and received with SPF + DKIM + DMARC authentication. Engagement-related communications are kept on Google Workspace with two-factor authentication on the admin account.
No system is perfectly secure. If you believe your data has been compromised, email max@greendolphin.ai immediately.
9. Children
The Site is not directed at children under 16. We do not knowingly collect information from minors. If you are aware of such collection, contact us and we will delete the data promptly.
10. Changes
We may update this policy as the Site or our processing changes. The “Last updated” date at the top reflects the current version. Material changes will be communicated to active engagement clients via email.
